A youth squad abroad runs on group chats. Kick-off times move, a minibus is late, a parent needs to reach the coach. If half the players are on Wi-Fi only, messages arrive after the fact. The fix is simple enough to do in an evening, as long as it happens a week before travel rather than in the hotel lobby.
Decide who needs an eSIM
Start with the staff: coach, team manager, physio and anyone who drives. They need data whatever happens, because they are the ones people call. Then the players. For under-18s, the parent decides, and the answer goes in the roster file along with the email address the install link should reach.
Players whose phones cannot take an eSIM still travel fine; they just rely on the hotel Wi-Fi and the staff phones. Find them early with the eSIM check in our note on school groups, and tell their parents what to expect.
How much data a tournament takes
A player who messages, checks maps and posts a few photos uses somewhere around 200 to 400 MB a day. Staff who share videos of the match with parents, or run a live score thread, use more, often closer to a gigabyte on a match day.
Put staff and players on separate trips in the console if you want different plans. Each trip has one plan that every traveller on it receives.
- Players: a 1 GB day pass is generous; a fixed plan of 3 to 5 GB for a four-day tournament is usually enough.
- Staff: a day pass with a larger daily allowance, so nobody runs out on the final day.
The three messages to send
One week before: the install link for each traveller, with a line asking them to install it at home on Wi-Fi and leave the new line switched off until they land.
Two days before: a reminder to anyone the install board still shows as Not installed. The board is the list; you do not need to ask the group who has done it.
On arrival: switch on the new line, turn on data roaming for that line only, and send one message in the team chat so you can see who is connected.
If something goes wrong on the day
Most failures are a phone that was never unlocked or a line left switched off. The install page has the manual codes for both iPhone and Android, which fixes the case where a QR code cannot be scanned from the same phone. For a tournament with a lot riding on it, an on-call window with a coordinator covers the first four hours after landing.
